Overview

The Executive Assistant - Global Sales & Marketing will support the SVP of Global Sales & Marketing and be responsible for a broad range of administrative and sales coordinator duties. This position will require initiative, judgment, independent decision making, as well as general sales and guest service skills. The professional in this position must project warmth and enthusiasm toward internal and external visitors. This person will be a proactive member of the team by volunteering and participating in tasks, events and committees while providing input and suggestions.

Responsibilities

Essential duties include, but are not limited to:

  • Maintain all department forms, tools, shared drive, etc
  • Book travel & prepare expense reports as well as review all team member expense reports as well as review all team member expense reports for alignment with travel policy
  • Assist with variance research  for monthly expenses  
  • Prepare budget to actuals for all team travel as well as trade show expenses
  • Assists regions with trade show and event preparations
  • Answer, screen & route telephone calls and use appropriate telephone etiquette
  • Assists in responses to internal/external guests including letters, phone calls and coordination of in-person service recovery
  • Serve as a partner to other departments and assist in training administration, record keeping, etc.
  • Must have the ability to incorporate creative approaches to various projects by taking initiative and working independently
  • Assist with special projects which may include data collection, coordination, final copy preparation, distribution, etc.
  • Become familiar with all department functions in order to communicate on them effectively and accurately
  • Develop messages and effectively use vehicles to ensure consistent, integrated and comprehensive system of communications
  • Supports Sales team with additional duties and projects as needed and approved by the SVP of Global Sales & Marketing

Qualifications

  • Two years or more of clerical/administrative experience required, college degree preferred
  • Advanced computer skills including Microsoft Office – Word, Excel, PowerPoint, and Outlook required
  • Working knowledge of Delphi/Ssalesforce preferred
  • Ideal background is an individual who has worked within the hospitality industry – preferably hotel sales
  • Must operate well in a team environment as well as perform job duties with little supervision
  • Ability to work flexible schedules including nights, weekends, and holidays
