Overview

Accounts Payable Specialist will contribute to the day-to-day and monthly accounting work for the company.  All duties are performed in accordance with company policies and procedures.

Responsibilities

ESSENTIAL FUNCTIONS AND TASKS:

  • Manage and separate the delegated tasks under Operational, HR Nevada Project, and HR Tejon projects.
  • Monitor Project inboxes for HR Nevada and HR Tejon projects and print all new invoices and back up.
  • Review Construction invoices for both HR Nevada and HR Tejon to make sure all necessary backups are attached and review previous billings to make sure invoice is accurate. Invoice also requires to be coded with project cost codes.
  • Create Purchase Orders and PO Amendments in Unifier for both HR Nevada and HR Tejon projects.
  • Enter invoices against the PO in Unifier for both HR Nevada and HR Tejon projects.
  • Prepare invoice reporting of all approved invoices from Unifier for payment.
  • Process all operations and construction invoices in Infinium manually or via CSV upload.
  • Assist AP Manager and or AP Supervisor with Construction related research/recons
  • Process all operations invoices int SWS (Stratton Warren)
  • Maintains invoice filing system and scan invoices into PDF and saving to a shared file.
  • Understands ‘matching’ and full-cycle Accounts Payable process.
  • Reconciles vendor statements.
  • Communicate with internal customers for any PO price and quantity discrepancies, Misc. and Freight/Shipping approval.
  • Assists in monthly closings.
  • Prepares analysis of accounts, as required.
  • Maintains strict confidentiality in all department and company matters.
  • Performs other job-related duties as requested such as scanning or printing.

Qualifications

EDUCATION AND /OR EXPERIENCE REQUIREMENTS:

  • HS diploma or GED
  • Minimum 2 years related experience.

PREFERRED EXPERIENCE:

  • Experience in a similar resort setting.
  • Experience with SWS and Infinum

 

CERTIFICATIONS, LICENSES, REGISTRATIONS:

  • Proof of eligibility to work in the United States

  • Problem-solving skills and interpersonal skills to necessary to effectively communicate with all of management.
  • Strong organization skills and attention to detail.
  • Must have ability to plan, organize, and execute multiple projects within established timelines.
  • Professional appearance and demeanor.
  • Ability to communicate effectively in English, in both written and oral forms.
  • Proficiency in the following systems and programs: Excel, Word, and Outlook.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

PHYSICAL DEMANDS:

  • May be exposed to casino related environmental factors including, but not limited to, second-hand smoke, excessive noise, and constant exposure to public.
